# Capture Meeting Notes

Use klarvoice to record structured notes and action items during or immediately after a meeting.

## Two approaches: during and after

Approach | Best when | Notes

**During the meeting** | You are not the main speaker | Quick captures between discussion points; short recordings

**Immediately after** | You led the meeting or need to stay fully present | Best within 5–10 minutes while memory is fresh

## Capturing notes during a meeting

1. Open your notes app and create a blank document before the meeting starts.
2. When a key point is made, click into the document and press your hotkey.
3. Speak a one or two sentence summary of what was just said.
4. Stop the recording and return your attention to the meeting.
5. For action items, prefix them out loud: *"Action item: [person] will [task] by [date]."*

## Capturing notes right after a meeting

1. Start a new document immediately after the meeting ends.
2. Press your hotkey and do a full brain dump: what was discussed, decisions made, open questions, who said they would do what.
3. Stop recording. You will have a raw transcript.
4. Do one editing pass to add headings and pull out action items.

## Recommended note structure

- **Date and attendees**
- **Key discussion points** — brief summaries, not verbatim transcripts
- **Decisions made** — clearly stated, no ambiguity
- **Action items** — owner, task, deadline
- **Open questions** — things that were raised but not resolved

> Tip: Dictate action items in a consistent format — *"Action: [Name] to [task] by [date]"* — so you can search or filter them later.
